Know what each payout represents
A deposit may be net of fees, refunds and adjustments. We help reconcile the underlying sales and costs rather than treating each payout as the full sale. Payroll, supplier invoices and regular reporting can be coordinated in the same service scope.
How we can help
- POS and bank reconciliation
- Delivery platform payout records
- Supplier and stock records
- Payroll and timesheets
- BAS preparation
- Cash flow and management reporting
A process that fits your business
We begin with your existing software, reporting needs and the way work is approved. You tell us which information is already available and where the process becomes difficult. We then agree responsibilities, a record collection routine and a reporting schedule. We work with Xero, MYOB and QuickBooks and can coordinate with your existing accountant.
What to expect from our support
Your scope can cover a specific task or a combination of bookkeeping, BAS, payroll and reporting. We identify missing information and explain questions in plain language. Fees depend on transaction volumes, systems, complexity and the services included. You receive a quote before the agreed work begins.
Getting started
Tell us about your business structure, accounting software and the work you want help with. We review the information and agree the scope, responsibilities and fee before beginning. Existing accountant relationships can be retained, with a clear handover of the records needed.
During onboarding, we confirm access permissions, document collection and any authority required for lodgements. You keep control of approvals and receive questions where a transaction or decision needs your input.
Common questions from cafés and restaurants
Why do delivery-platform payouts differ from the sales shown in our POS?
A payout can reflect commissions, refunds, promotions and adjustments as well as the sales collected. We reconcile the platform statement with your POS reports and bank deposit, keeping the underlying sales and deductions visible. This helps prevent sales being omitted or counted twice across systems.
How do you reconcile cash takings, card settlements and daily till totals?
We compare daily POS summaries, cash-up sheets, merchant reports and bank deposits. Cash paid out, refunds and settlement delays are recorded separately, with unexplained differences returned to the venue manager. A consistent daily cash-up process makes the monthly reconciliation much easier.
Can you process payroll for casual staff, weekend shifts and public holidays?
We can process approved timesheets using the applicable award or agreement, classifications and confirmed pay settings. Breaks, overtime, penalties and allowances need accurate shift information. We raise missing or unusual entries with your approver before the pay run is finalised.
Can the accounts show food costs, supplier credits and wastage?
We can organise food and beverage purchases, supplier credits and stock adjustments using your purchasing and stocktake records. Wastage records help explain differences between purchases and stock used. Consistent coding and regular stock counts make cost-of-sales and margin reports more useful.
How should gift vouchers, customer deposits and tips be tracked?
Record voucher sales and redemptions, event deposits and refunds, and any tips collected or distributed as distinct transaction types. We reconcile the relevant balances to your POS and bank records. The accounting, GST and payroll treatment is confirmed for your arrangements rather than assuming every receipt is ordinary menu sales.
