How should I organise business receipts?

A practical answer from the Affordable Bookkeeper knowledge centre.

Use a consistent system that keeps each receipt readable and connected to the transaction. Digital folders or an accounting document tool can work well when documents are complete, searchable and backed up.

What this means in practice

Capture the document before it fades or gets lost. Include the supplier, date, amount and what the purchase was for. Where an expense has both business and private use, record the basis for the business portion. Avoid keeping the only copy in a chat thread or on a single phone. The final records should be accessible for reporting and any later review.

Your next steps

  • Capture a clear and complete image
  • Add a business purpose note
  • Match it to the transaction
  • Keep a backup and access process
